Is Enterprise Solutions by Intuit your right choice?

 

For current users, here are some indications that you are ready for the enterprise edition:

• Are you experiencing inconvenience with your current version of QuickBooks?
• Do you have to start a new data file every year?
• Do you want to limit user's QuickBooks access to only those features necessary to perform the job?
• Do you have to delete old items to add new ones?

QuickBooks Premier or QuickBooks Enterprise?

 

A 3 user license QuickBooks Pro $440 (but you can add 2 more single user licenses at $170/ea),  QuickBooks Premier 3 user  is $960 (but you can add 2 more single user licenses at $369 ea) and QuickBooks Enterprise is $3000 - a $1300 Premium.  Is it worth the extra money?  We think so.  Enterprise offers user permissions (improved internal controls) and efficiency features not available in Premier or Pro.  Plus it programmed to run 2 times faster than Premier. 

With QuickBooks Enterprise, Intuit has provide an ideal accounting solution, well worth the additional cost.   Even if your company has less than 5 users, this edition will make office workers more efficient, produce fewer errors, and provide the accounting security necessary to safeguard company assets. These added features will  recover the additional cost in no time at all.

Top of this list of great features , first available in the 2005 edition,  is the Advanced Permissions offering a huge improvement to internal controls. The ability to  limit users access of confidential financial information is very lightweight and somewhat ineffective in QuickBooks Premier.  Giving staff permission to access all features of QuickBooks is risky business.   Too much information provided to employees who do not need the information to do their jobs could provide fraud motivation to a disgruntled or financially distressed employee.  If a fraud can be rationalized by an employee who also has an opportunity to commit the fraud; and the employee has additional outside pressure or incentive to respond to that opportunity; and if conditions in your business are such that “getting caught” seems to be an unlikely scenario, your business is vulnerable. 

Enterprise Editions allow you to  give access to just the financial information needed to do the job.  A robust permissions and access features have been added to the Enterprise suite of software. Users can now assign distinct access levels, including view-only, create, modify, delete, and print, to over 155 separate entitlements. Plus print a report of each users permissions for periodic review. Plus selectively assign certain rights only previously available to the admin user . And finally an “always on" delete report means that a fraudster can no erase an audit trail.

If you need more than 5 user simultaneous access,  Enterprise is the only desktop edition that offers up to 20 simultaneous user access.  QuickBooks On-line Edition offers 20 simultaneous users but is strictly for very simple accounting as it is stripped of many of the features of the desktop editions.

PLAN TO UPGRADE ANNUALLY - Intuit prices the upgrades at a value that you cannot ignore.   If you purchase a 5 user version  of Enterprise solutions, your renewal fee in 12 months will be $750.00 (10 user renewal is $1,200, 15 user renewal is $1,600, and 20 user renewal is $2,000).  The renewal fee, is a fee to receive the latest edition of QuickBooks Enterprise.  Your initial price entitles you to a free version of 2009 edition.

If you choose not to purchase the renewal plan, keep in mind no special upgrade pricing is currently offered.  That means if new features come out increasing your office efficiency, your price to upgrade is the same price as purchasing the entire program again (from $3000 -$9000).

  • New edition has teamed up with Google. The Google feature works the same way as a websearch but limits the  search to  QuickBooks.  Not to worry,  will only retrieve what your employees have permission to see. In addition, set up a Google AdWords account within QuickBooks and receive a $50 credit from Google to try out
       this form of advertising.  What is  AdWords? Go to www.Google.com  and do a search on QuickBooks. Those  links in the right margin are PAID advertising through AdWords. See how your sales can increasing by buying key  search terms - for your community.
  • Are you still confused about what payroll taxes/forms are due when? This edition will remind you when to cut payroll checks, when to file and pay payroll taxes and how much to pay.

  • Purchase and sell the same item in different units of measure. Only available in Premier Contractors & Mfg/Wholesale Edition
       Unit of measure conversion prevents costly errors.  Enter your item into inventory in smallest unit of measure for
       that product, sell on an invoice in a larger unit of measure. QuickBooks will reduce your inventory based on a
       conversion to the smallest unit of measure. For example sell 1 can of soda or one six-pack. QuickBooks will  
       reduce the soda inventory by 6.  Caution: Pricing for the six is based on the single can of soda pricing.
  • Enterprise now can add up to 100,000 list items (names, items, classes)
  • The easy step start up wizard (to set up new QuickBooks company files) is improved with the ability to select which accounts on a recommended chart of accounts that you prefer to use.
