   QuickBooks Enterprise does a better job to help you prevent fraud from occurring in your business.  Honest employees can become dishonest when they
   see large bank account balances or assets that are not being guarded. If they can't see these amounts, then your risk is greatly reduced. That is where
   user access permissions play a role. Segregating duties - where collusion would have to take place before fraud can occur- is also key and where
   QuickBooks Enterprise can help you. For example- The employee entering bills should not be allowed to set up new vendors. This employee could create a
   fictitious vendor name with his/her address and enter fictitious bills for payment.  An employee applying customer payment should not also be permitted to
   enter credit memos, doing so could allow an employee to divert collectible funds into personal accounts.  And setting the sales preference to require
   QuickBooks Enterprise to save the transaction when printing will ensure that the always on Audit trail track changes made to that transaction which
  produces an Audit trail report and a Voided/Deleted transaction report. Be sure you assign a different employee to review these reports periodically for
  questionable transactions. In addition, to restrictions  there is a  closing date password that should be set each month after bank reconciliations are
  complete which prevents changes to transactions. And finally, there is the credit card protection feature - even if you do not use the Intuit merchant services
  account, turning on this feature requires users to have a complex password that must be changed every 90 days.

Customizable Fields-include up to 15 custom fields with QuickBooks Enterprise on Items (Pro/Premier limited to 5)  Plus in QuickBooks Enterprise you can assign what type of information  can be entered into these fields (date, alpha, numeric, # decimals - etc) or provide a drop down menu for the employee to select from.  Now when you run reports filtered on these fields you can get consistent results since employees cannot find creative ways of individualizing how they complete these fields.  For example, on items you may want to track Bin number, serial number sold, color/size, date ordered, required date, picked by, completed by, inspected by and so on.  In addition you can make these fields a "required field" on lists or transactions. Customization of fields is possible for customers, vendors and employees as well. The same customization options apply but in QuickBooks Enterprise you can have a total of 30 name custom fields with a maximum of 12 for any name list (customer, vendor, employee).  In Pro/Premier, the maximum is 7 custom fields per names list.

Plan to continue on the Full Service Plan Annually - Intuit prices the Full Service Plan at a value that you cannot ignore.   If you purchase a 5 user version  of Enterprise solutions, your renewal fee in 12 months will be $950.00 (10 user renewal is $1,450, 30 user renewal is $2,400).  The renewal fee, is a fee to receive the latest edition of QuickBooks Enterprise and includes another 12 months free technical support, which can come in handy as your data file starts to grow in size, you also get continued free services including online backup. This full service plan is optional. With your purchase of the QuickBooks Enterprise v 13 you will receive the next version if released within 12 months of purchase at no additional cost. Intuit has released a new version annually since 1996 in September of each year.  Each new version includes software productivity enhancements.  In addition the Full Service plan includes Free Intuit Technical Support, and free Automatic Offsite backups.

Auto Sales Price Markup- Set a default markup percentage for each item, when the cost price changes, you can elect to automatically update the selling price by the markup. The setting includes an option to always update the cost, but ask before updating the price.

Price levels- QuickBooks Enterprise is the only version of QuickBooks that offers the ability to create up to 750 unique price levels.

Enhanced Inventory receiving - The item receipt and the bill are now 2 different transactions. An item receipt will increase inventory as of the received date but not increase A/P instead it will increase a clearing account, the bill will increase A/P based on the date you enter the bill, which will NOT  change your inventory values, instead it will post to the clearing account.  So after posting 1 item receipt and its related bill, the clearing account will be zero.  But any future changes to that item receipt or bill which is also not done to the related bill or item receipt will cause that clearing account to no longer be zero. So strict controls should be implemented to avoid this problem.  This feature is optional, and will cure the problems previously incurred due to negative inventory counts or changes to when inventory quantities post.  However, this change is a global change and is irreversible.  You should test this change on a copy of your data file to see the impact on your financials before implementing this change.  This feature may cause conflicts with third party software you are currently using. Is QuickBooks Enterprise Solutions by Intuit your right choice?

For current users, here are some indications that you are ready for the enterprise edition:

• Are you experiencing inconvenience with your current version of QuickBooks?
• Do you have to start a new data file every year?
• Do you want to limit user's QuickBooks access to only those features necessary to perform the job?
• Do you have to delete old items to add new ones?
• In multi-user mode, does one user have to wait for another to complete their task before starting their own?
• Do certain reports take a long time to generate?
• Do you have a need for more than 5 simultaneous users?
• Do you need better simultaneous user performance?
• Is your data file growing and exceeding 100 MB?
• Do you have long customer, vendor, or item lists (more than 10,000)?
• Do you have multiple locations?
• Are you a growing business?
• Do you want your employees to do more but want to limit the amount of access ?
• How many transactions are you going to have in a given year?  For file sizes over 300MB we suggest running QuickBooks Enterprise on a dedicated high end server
  with Microsoft Remote Desktop services (formerly Terminal  services). If your file size will exceed 1 Gig in a given year, QuickBooks Enterprise may not be the right
   choice for you. 

Comparison of QuickBooks Premier or QuickBooks Enterprise?

If services that come FREE with your initial purchase of Enterprise do not excite you, strictly on a total cost of ownership analysis, QuickBooks Enterprise can be less expensive to own than QuickBooks Premier.Effective with the 2012 version , QuickBooks Pro now only permits a maximum of 3 users accessing the data file at one time for a cost of $520 for a 3 user license.  Companies that currently use an older version of a 5 user license Pro will need to consider Premier or Enterprise when they decide to upgrade.  The chart below describes how QuickBooks Enterprise can be less expensive to own than  QuickBooks Premier.  QuickBooks Premier 5 user license will cost a minimum of $1,480 and QuickBooks Enterprise promotion price is generally $2400 (although promotions do come out a few times a year at $2100)  - So the first year additional cost is between $700-$1000.  Is it worth the extra money?  We think so QuickBooks Enterprise is worth the additional initial cost, and over the long term will save you money.. 

1. Cost of acquiring the next edition - with QuickBooks Premier- you pay full price each year- and if you pay for any technical support, you have already spent more on Premier.
 

   And not upgrading each year can mean LOST PRODUCTIVITY of the employees. The improvements that come out each year are all geared to doing more with less!  There may be
   a year you will not use the enhancements, but overall, that will not be the case.

Enterprise can restrict  user access permissions (improved internal controls) and not available in Premier or Pro.  This feature alone, makes Enterprise a superior product  QuickBooks Premier and if even if your company has less than 5 users, this edition protects your companies assets, and deters fraud and promotes safeguarding of company assets. 

  Advanced Permissions offer a huge improvement to internal controls. 115 access rights versus 8 in QuickBooks Premier.  Giving staff permission to access all features of QuickBooks is risky business.   Too much information provided to employees who do not need the information to do their jobs could provide fraud motivation to a disgruntled or financially distressed employee.  If a fraud can be rationalized by an employee who also has an opportunity to commit the fraud; and the employee has additional outside pressure or incentive to respond to that opportunity; and if conditions in your business are such that “getting caught” seems to be an unlikely scenario, your business is vulnerable. 

Enterprise Editions allow you to  give access to just the financial information needed to do the job.  A robust permissions and access features have been added to the Enterprise suite of software. Users can now assign distinct access levels, including view-only, create, modify, delete, and print, to over 155 separate entitlements. Plus print a report of each users permissions for periodic review. Plus selectively assign certain rights only previously available to the admin user . And finally an “always on" delete report means that a fraudster can no erase an audit trail.

• QuickBooks Enterprise Solutions allow you to add up to one million names (e.g. customers, vendors, employees) and up to one million items (e.g. inventory, non-inventory, and service items). Some performance degradation is likely as your lists approach these size thresholds.

Data files sizes in excess of 1gig up to 2 gig can become slow to work with. The solution for many companies with files sizes in this range will be to copy the file, remove all existing transactions, set up opening balances and all your other customized settings are in place.  Both the new file and old file will be accessible for looking up data and running reports.   Keeping tabs on file size, if you see it begin to slow down,  and planning to start a new file within the first week of your next business year.
